The Importance of a

We discovered recently that the "," is important when creating new Library accounts.  
In one case, a student could not login to her Library account because there was no "," between her first and last name in Sierra.  Always be sure to enter Last Name, First Name when creating Library accounts.  It could save a Library user a lot of time and spare unnecessary frustration!

FAQ:  How to Process an ACLS Book


Checking out an ACLS, BLS, or PALS book is one of the most frequent requests we get, besides "What's my password?" Below are the steps to follow to complete this process.

Step 1:
·        Ask when their class is scheduled
o   If the class is within a week, explain that they need to come and pick the book up at the Library
§  127 South Davis Ave., Columbus
§  Opening hours:  8 a.m.-9 p.m., Monday-Thursday/8-5 Friday
o   If the class is two weeks or more, tell them we can send it through interoffice mail to their hospital location
Step 2:

·        Check to see if they have a Library account before making a new one
o   If they need a Library account, use the guide at the Front Desk to make one
o   If they have one, change expiration to one year from today's date
o   Confirm that they are in the same hospital location and unit – if not, update with new info
Step 3:

·        After making the account, tell them the following:
o   That the book will be sent through interoffice mail and should arrive at their hospital site within 10 days
o   That that they will receive an e-mail confirming the interoffice delivery
o   That they can use the same envelope to send the book back to us
o   Ask if they have any questions
o   Now you can say thank you and finish the call
Step 4:

·        Once you are off the phone, do the following steps:
o   Very Important **Check out the book they wanted, i.e. ACLS, BLS, etc.
o   Place it an interoffice envelope (bubble mailer) and label
o   Fill out label with hospital location, unit and client's name
o   Put envelope on Noreen's desk.  If she isn't here, put it on Kaitlyn's desk.
Tips:
·        Just act like client is standing in front of you when making the account – and relax!
·        If they are talking too fast, ask them to repeat the information, slow down – accuracy is very important!!!

Reserving OhioLINK Books



The Library may only have a copy or two of a Closed Reserve book to check out for Library Use Only, but you can borrow books from OhioLINK too!  Below are screenshots to show you how to do it.  Remember, OhioLINK books go out for three weeks at a time and can be renewed if no one else is waiting.

Changes in the Library Workroom

**Please Note:  All shifted books face Library Front Desk**


  • Closed Reserve are in the same order and start at the far end of the range (nearest the title floor).
  • Perinatal & Perianesthesia Books start right after Closed Reserve.
  • ACLS, BLS, PALS, FCCS & NRP are on the middle, lower shelves.
  • Hold Shelf for OhioLINK & other materials is located on the top shelf (nearest to workroom door).
  • Other special collections are just below Hold Shelf and include:
    • Nursing Certification Preparation books
    • SANE Nursing
    • Ortho Nursing

All items in Library work table are in the same locations -- the only difference is the direction in which the table faces.

Interoffice Mail Update

Since the hospital moved, mail delivery has gone through many changes.  Below is a list of our latest procedures and updates.


  • Books owned by Mount Carmel Health Sciences Library are being sent to all locations, using the white bubble mailers.  
  • Here are the interoffice procedures:  
    • Be sure the client has an account in Sierra. If they do not, make one.
    • Check out the item to the person before packing it up.
    • Include the following information on the label, in this order:
      • Hospital location (e.g. MCE)
      • Unit or Suite
      • Client's full name
    • Explain to the client that interoffice mail delivery takes about a week to arrive.
    • Once the mailer is packed up, leave it on Kaitlyn's desk in 3rd Floor Workroom.
    • Tell the client that to return the item back to the Library, simply needs to flip the label over to show RETURN TO MCW LIBRARY. 

  • Books borrowed from other libraries will no longer be sent through interoffice mail and must be picked up at the Library.  If a client has a question or wants to make other arrangements, have them call or e-mail Kaitlyn at 614-234-2154 or Kaitlyn.Humphrey@mchs.com.

Nightly Tasks Sheet

We revised the Nightly Task Sheet recently and added a new task of refilling the Keurig with fresh water.  Please be sure to make this part of your routine.  Also, remember to empty any water from the tray under the water basin (this will make it on the next version of the Nightly Task Sheet).  😃

One task that has been removed is refilling the candy dish.  We do not have candy at this time. 😞

Fresh copies of the Nightly Task Sheets are now kept in the front pocket of the binder.  Please let Noreen know when these are running low so she can restock them.  Please complete all the tasks on the sheet as well as any additional duties that we add.  Use the space at the bottom of the sheet for any questions or comments.  🙏

**Another reminder:  Put the flash drive back in the binder when you are finished saving articles.

Check Before Check-In


Please check the front and back cover of books you are checking in.  Even though they may be the same editions we carry on the Closed Reserve Shelf, some books you process are owned by other OhioLINK libraries. 

Steps to follow when checking in OhioLINK books:

  • Locate barcode and check in book in Sierra as usual.
  • Click the acknowledgement that the book is from the owning library.
  • Say NO when it asks about printing check-in slip.
  • Mark OhioLINK label on the book with a big R.
  • Place book on Library work table.

These photos show the difference between a Mount Carmel Health Sciences Library book  and an OhioLINK book.  Notice that our book has the W in the bottom, left corner and the yellow Closed Reserve tape across the top.  An OhioLINK book has a sticker on the front or back cover.

**Another Important Reminder**

Please check the Laptop Loan Agreement drawer before closing up for the night.  Twice last week, laptops were not checked in properly.  In one instance, a laptop was left overnight in one of the Library study rooms.

iPads Now Available

The Library now offers iPads to clients for checkout  Below are the details:
  • Borrowing time is same as laptops -- due 15 minutes before Library closes.
  • iPads are in hardshell cases and stored in the third cubby (from Kaitlyn's desk) in Library work room.
  • Blank iPad Loan Agreements are kept in same holder as Laptop Loan Agreements.  Completed iPad agreements will go in same drawer as Laptop agreements.
  • Clients have the option to check out a power cord.  These are barcoded, so check cords out to clients.  Please fill out this part of Loan Agreement to indicate if the client checked out a power cord or not.
  • Clients are not able to put Apps on the tablets -- none of them have App for Apple Store.
  • Apps for UpToDate, ClinicalKey and Lexicomp are loaded on all tablets.  
  • There is a direct link to the Library on tablets' Home screens.

Laptop Procedures

There have been some errors with Laptop procedures lately.  Please follow these steps for Laptop Check Out/In:

Check Out Procedures:
  • Have client fill out Laptop Loan Agreement Form.  Complete Laptop Number, Power Cord Number & Mouse section.  Print & sign (or initial) the Check-Out section.  
  • Put Form in appropriate spot in drawer.
  • Check out Laptop to client in Sierra.
Check In Procedures:
  • Make sure Laptop is powered OFF and that all parts are in the bag -- Laptop, Power Cord & Mouse.
  • Check in Laptop in Sierra.
  • Put Laptop back in cabinet.
  • Complete Check In section of Laptop Loan Agreement Form. Put Form in appropriate spot in drawer.
Before the end of your shift, check the drawer for any agreements for checked-out Laptops. If any agreement forms remain, check cabinet to see if Laptops were returned.  If a Laptops is here, double-check the client's record in Sierra to be sure that the Laptop is check in and no longer on client's account.  If a Laptop is still checked out, look for the client in the Library.  If you cannot find the client before closing, leave the Laptop Loan Agreement Form on Noreen or Kaitlyn's desk with a note indicating that the Laptop was not returned.

Scanning Page Limits

If you have an article request that is over 50 pages -- good news -- you do not have to scan it.  There is a copyright guideline that only allows libraries to scan and send articles under that limit.  Just leave a note at the top right-hand side of the request sheet indicating the article is over 50 pages.

Labor Day Special Post

I heard this story on National Public Radio today and wanted to share it with all of you.  A great testament to the profession you are all pursuing:

Yes, you can!!  This new telephone has replaced the old models at all locations throughout the Library and MCCN campus.  They may look intimidating, but most of the functions remain the same.  

The best news -- transfers are still handled the same way:  
Transfer-->5-digit extension -->Transfer

Also, the camera enables video phone calls only for internal Mount Carmel Health System phone calls.  BTW -- we turned off all of the cameras.  If you notice that one is on, twist the little camera lens at the top.

You do not need to worry about checking voicemail messages.  If you notice one on the screen, just let Noreen or Kaitlyn know about it.

Don't Be Alarmed -- Stay Informed

With the renovation and construction come alerts and notices.  Please stay informed by reading College Announcements that come to your @mccn.edu inbox.  Also, refer to the MCCN Emergency Response Codes & Info (spiral-bound guide) for instructions on what to do in various situations. 

In case of a fire alarm or tornado warning, calmly evacuate both floors of the Library.  Do not use elevators during evacuation.  Direct people to use the closest stairway that takes you in front of the CLE.  To get to it, take a right just past the elevators and follow the hallway to the stairs.

Front Desk Computers

Please refer to the CODEX for the computer login.  We switched back to the old username & password that was in effect last year.  This means that the bookmarks we set in Chrome will be there at login.

Yay!  

No more digging around for those frequently visited pages like:

  • @MC Intranet site
  • This Blog you're reading



Speaking of computers...


John Smith from MCCN IT stopped by with a stack of new HelpLine Business Cards.  These replace our quarter-sheet handouts that were kept at the front desk.  This is for students and faculty who may encounter problems logging into the Computer Lab workstations, located on the 2nd Floor/CLE.

We are trying something new for the blog in 2019-20.  You will receive an e-mail with the blog link every week.  This will make it easier for you to access it.  You are still expected to comment on the new post by entering a question -- or simply putting in your initials.  Also, feel free to respond to the e-mail with any questions or comments.

Updates from the Summer

Some of you may know that Liz Lyman is no longer at the Mount Carmel Health Sciences Library.  She is now a reference Librarian at Children's Hospital.  Kaitlyn is now the main contact for Graduate Medical Residents.  In addition, she & Ken are sharing some of the other duties.

With these staff changes, we have updated the Staff Directory and Who to Contact page at the Front Desk.  Included on the Staff Directory are new phone numbers for Security, the new Franklinton Emergency Dept. and the Operator at Mount Carmel Grove City.  Please review these sheets as well as the CODEX for further changes & updates.

Switching Accounts from MCW to MCGC


The nurses, physicians and other medical professionals who were based at MCW will need to have their accounts updated in Sierra.  We will do this individually since there is not an automated way to update them. 

When you are assisting a client who needs this update, please get as much information as possible, including Department/Floor/Building/Unit as well as Phone number.  Remember:  Grove City phone numbers all start with 663, and when dialing internally, start with "2" (like MCW/MCE start with "5"). 

Another reminder:  LibAnalytics has MCGC as location choice.  Remember to use it when appropriate.

Reminder to Enter Statistics


It is easy to forget to enter statistics, but it is still very important!! These statistics help show a need for student workers at the Library.


Remember to enter interactions in LibAnalytics statistics program, EVERY TIME YOU INTERACT with a client -  check-out/in (this includes check-ins that are left in the basket), phone calls, directions, supply requests, room reservations, referrals, laptops, etc.


  • LibAnalytics should ALWAYS be open on the front desk computers. If you arrive to work and it is not open, ask Kaitlyn or Noreen, or refer to the TVs & Computers section of the codex for the URL and login information.

  • You should always enter MCW as YOUR LOCATION and select the appropriate categories for the client. You will probably most often be using MCCN Student, in which case, the client affiliation is MCCN and your location is MCW.

Food for Fines is currently underway and runs through 

May 17, 2019

Food for Fines allows Library patrons to 'pay off' outstanding Library fines on their account by donating non-perishable food items instead of paying money. 


HOW IT WORKS

1 food item = $3.00 in fines

up to $30 in fines can be paid off with food

Food for Fines transactions can ONLY be completed between 

8AM -5PM M-F 

when a permanent Library staff member is present.

New:  Required Tutorial

Here is something to help you help us -- a Self-Directed Learning (SDL) Tutorial on finding full-text articles.  Created by Kaitlyn, this tutorial takes you through the whole process and includes brief knowledge checks.  

Please complete the SDL during your next shift and fill out the brief evaluation.  Once you finish the SDL submit your results.

CODE GRAY

It's no joke... Spring weather can be unpredictable. If you are working an evening shift and the loudspeaker announces CODE GRAY, here are tips on what to do.


If a Tornado Watch is announced, conditions are right for a tornado to occur.  Do the following:
  • Monitor weather
  • Close windows, curtains, and blinds in occupied areas
  • Test flashlights (in top drawer -- above TV Remotes)

If a Tornado Warning is announced, conditions for a tornado have been sighted or indicated by weather radar.  Do the following:
  • Close all doors
  • Turn off all lights
  • Take flashlights
  • Move all Library visitors away from windows and to the College basement or interior hallways
  • DO NOT take the elevator
Refer to the Emergency Response Codes & Info at Front Desk, for information on how to react when any code is called. A copy of this resource is located at the front desk.

Temporary Fix for Sierra

The IT department is still working to fix the problems with Sierra on the Front Desk Computers.  In the meantime, they have a temporary fix.  Details are below:
  • Please refer to the Library CODEX for the new computer login credentials.
  • When signing out the computer at the end of your shift, please do CTRL/ALT/DELETE and choose Sign Off.  This is the only way we can log out at this time.

A Reminder About Fines

Please remember that when you check in a material if there is a fine, write the name of the person on a sticky note or a piece of paper and place it on Kaitlyn's desk. This makes it so she can easily go in and take care of the persons fine before the fines notices go out and the person with the fine panics. 

If there is no scrap paper or sticky notes at the front desk, please let Kaitlyn know and she will get some ready for you.

MAIL TIME!

(Interoffice mail specifically)


When sending books to other hospital site please note the following:

MCSA & MCGC

All items sent to MCSA & MCGC will be sent to the persons unit, in a white bubble mailer with their name on it.

MCNA

All Items sent to MCNA will be sent to the Reception desk in a white bubble mailer, their name will be on the book.

MCE

All Items sent to MCE will be sent to the MAIL ROOM. The items will be placed in the mail box for their unit and the item will be in a white bubble mailer with their name on it. (It is their responsibility to go and pick it up)

Westar, Diley Ridge, Lewis Center, McNaughten Rd., etc.

All items sent to the above locations will be sent to the persons suite number provided when their account was created. The items will be in a white bubble mailer with their name and suite number on it.

MCW

We DO NOT deliver items via interoffice mail to persons here on the MCW campus. We ask that they stop by during our regular hours of operation and pick up their desired materials in person.

REMINDER: SHUT DOWN LAPTOPS WHEN RETURNED

Just a quick reminder to ALWAYS check that laptops are shut down completely when they are returned before putting them back in the cabinet. When they are stored while turned on, even in sleep mode, they easily overheat and then cannot be used until they cool down and charge again.


Check EVERY LAPTOP, EVERY TIME and make sure it is OFF, not just in sleep mode. 

  • On the Macs this is pretty obvious - but you can double check by moving the mouse around to see if the screen comes on. 
  • On the PCs, sleep mode can be deceiving - look at the power button and if it is slowly lighting up blue and then going off again, the laptop is ON and asleep; you will need to push the power button to bring it out of sleep mode, login and then shut down the computer using the Start menu in the lower left corner of the screen.

  • Library Master Key - hanging from magnet clip on bookshelf, just past workroom entrance (key chain says Sat.).  This lets you into any room including:
    •  Library workroom
    • Stevo's office
    • 3rd floor study rooms main door
    • 402
    • 403
    •  Historic Book Room 
    • Mother's Room
  • Glass study room key -located in first cubby (near Kaitlyn's desk) in coffee cup.  Key chain is clearly marked.

Please take your time when checking books in and out in Sierra!

Hi everyone, please be sure that you are not rushing when you are checking materials in and out. More and more frequently books and laptops are being billed to patrons when they were returned on time, they were just not checked in correctly (JUST BECAUSE THE SCANNER BEEPS DOES NOT ALWAYS MEAN THAT THE BARCODE WAS SCANNED). There is no rush when checking materials in, please be sure that you are taking your time and the materials are actually checking in, and that the scanner is not just beeping. 

Please be especially mindful when checking in OhioLINK materials and laptops! Make sure that the materials check in and you fill out all necessary paperwork with the item.

Checking Voicemail 

If you have to be away from the desk for a bit during an evening shift, you may miss a phone call.  Please, look for a red light next to the mailbox icon on the phone -- this indicates that someone left a message.  

Here are the steps to listen to the voicemail:

  • Lift handset and dial 5-1234.
  • Recorded voice will ask you for the password.  Password for front desk phones is 2011.
  • The menu will ask if you want to listen to the message.  Follow the instructions to listen.  
  • Write down the message.
  • Do not delete the message, in case we need to refer back to it later.
  • Determine if you can call back and assist the customer.  
  • If you feel that you can't answer the question, leave the written message in the Green Folder (Red Tab marked Needs Immediate Attention or on the Task Sheet).
  • Kaitlyn will follow up with the customer the next day.

o   Paperwork
o   Etc.

·         Transfer the person to Central Scheduling:

o   Tell the caller to choose Option 1
